01Who We Are

This website, vrvfuel.com, is operated by VRV Oil and Gas Private Limited, trading as VRV Fuel, a licensed doorstep diesel delivery operator based in Coimbatore, Tamil Nadu. In this policy, “we”, “us” and “our” mean VRV Oil and Gas Private Limited, and “you” means anyone who visits this site, enquires with us or takes a delivery from us.

Our address is 333/301 KR Puram (V), 1250, Avanashi Road, Kovai, N.I. Road, Coimbatore, Tamil Nadu – 641004. We are the data fiduciary for the personal data described in this policy.

This policy explains what we collect, why we collect it, who else sees it and what you can ask us to do about it. It is written to meet the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 together with the rules made under it.

02What We Collect

Information you give us

Our Order Diesel and Contact Us forms ask for the details we need to quote, schedule and complete a delivery:

• Your name, and the company or organisation you are ordering for
• Your mobile number and, if you choose to give one, your email address
• The delivery location — site address or landmark — and access timings
• The quantity of high-speed diesel you want and your preferred delivery date
• Anything else you type into the message or notes field, such as tank type or the contact person on site

You may also reach us by phone, WhatsApp or email, in which case we hold whatever you tell us in that conversation.

Information created when we deliver

Running a licensed mobile petrol pump generates records that we are required to keep, and that you can ask us for:

• Metered dispensing records — litres delivered, date, time and the totaliser reading — produced by the certified meter on the bowser
• GPS position of the bowser and the geo-fence within which dispensing was authorised, for the delivery in question
• IoT controller telemetry from the dispensing unit, such as seal, valve and brake interlock status
• Delivery receipts, consumption history per asset, invoices, GSTIN and payment records
• Photographs of the delivery point where your site or our safety checks require them

The GPS and telemetry above relate to our vehicle and equipment. We do not track your vehicles, your phone or your movements.

Information collected automatically

Our host records standard server logs when a page is requested — IP address, date and time, the page requested, referring page, and browser and device type. These logs exist to keep the site available and secure, and are not used to build a profile of you.

03How Our Forms Work

This is worth stating plainly, because it is unusual. The forms on this site do not send anything to a server of ours. When you press Submit Order or Send Message, your browser assembles what you typed into a WhatsApp message and opens a WhatsApp compose window addressed to us, with that text pre-filled.

Once you do press send, the message travels over WhatsApp and is handled under WhatsApp’s own terms and privacy policy, which we do not control. It then sits in our business WhatsApp account, and we treat it the same as any other enquiry described in this policy.

04How We Use Your Information

We use what you give us only for the purposes you gave it to us for:

• To answer your enquiry, quote a price and confirm a delivery slot
• To plan the route, reach your gate, verify the delivery point and dispense the quantity ordered
• To raise invoices, collect payment and keep the accounting and tax records we must keep
• To give you consumption history and delivery reports, and to resolve any dispute about a quantity or a charge
• To meet safety, licensing and transport obligations for high-speed diesel, and to respond to a lawful request from an authority
• To contact you about an order you have placed — and, if you have asked us to, about scheduled deliveries or a standing supply arrangement

We do not sell your personal data, we do not rent or trade contact lists, and we do not use your details for advertising by anyone else.

05Consent And Your Choices

We process your details on the basis of the consent you give when you submit a form, tick the consent box on the order page, or approach us by phone, WhatsApp or email. Where the law requires us to keep a record — invoices, fuel movement and safety documents — we keep it for as long as that obligation lasts, whether or not you later withdraw consent for other uses.

You can withdraw consent at any time by writing to vrvoilgas@gmail.com. Withdrawing it is as easy as giving it, and costs you nothing. If you withdraw consent while an order is in progress, we may not be able to complete that delivery.

06Who We Share Information With

Your details stay inside our business except where sharing is necessary to deliver your order or is required of us:

• Our delivery crew — the driver and operator handling your delivery see your name, phone number, site address and order details
• Our oil marketing company and fuel technology partners — the mobile petrol pump platform that runs the metering, geo-fencing and dispensing records
• Payment, banking and accounting providers — to collect payment and file returns
• Government authorities — where a law, licence condition, court order or a lawful request obliges us to disclose
• Professional advisers — auditors and lawyers, under a duty of confidence

Anyone we share with is expected to use the information only for the purpose we shared it for, and to protect it as we would.

07Cookies, Analytics And Embedded Content

This site sets no cookies of its own, and we run no advertising or analytics trackers on it. Three third-party services are loaded by pages on this site, and each of them can see your IP address as a result:

• Google Fonts — the typefaces used across the site are fetched from Google’s font servers when a page loads
• OpenStreetMap — the map on the Contact Us page is an embedded frame served by OpenStreetMap
• WhatsApp — the chat button and the form hand-off open WhatsApp, which applies its own policy from that point on

Our hosting provider keeps the server logs described above and applies its own security measures. You can block or clear cookies and site data in your browser settings at any time; nothing on this site depends on them.

08How Long We Keep It

We keep an enquiry that does not turn into an order for up to two years, in case you come back to us. Customer records — orders, delivery and metering records, invoices and payment history — are kept for eight years from the end of the relevant financial year, which is the period Indian tax and company law requires. Records tied to a safety incident or a dispute are kept until the matter is closed and any limitation period has run out.

After that, we delete the records or strip them of anything that identifies you and keep only aggregate figures, such as total litres delivered in a month.

09How We Protect It

The site is served over HTTPS, so what you type is encrypted in transit. Access to our WhatsApp business account, email and billing records is limited to the people who need it to do their job, on password-protected devices. Paper records are held at our office premises.

No system is perfectly secure, and we do not claim otherwise. If a breach affects your personal data, we will notify you and the Data Protection Board of India as the law requires.

10Your Rights

Under the Digital Personal Data Protection Act, 2023 you may ask us at any time to:

• Tell you what we hold about you, how we have used it and who we shared it with
• Correct or complete anything that is wrong, out of date or incomplete
• Erase your personal data, where we are not required by law to keep it
• Withdraw your consent to any use that rests on consent
• Nominate another person to exercise these rights on your behalf in the event of your death or incapacity
• Raise a grievance with us, and escalate it to the Data Protection Board of India if our answer does not satisfy you

Write to vrvoilgas@gmail.com from the email address or with the mobile number we hold for you, and we will respond within 30 days. We may ask a question or two to confirm it is really you before we act.

11Children

Our services are sold to businesses and to adults, and this site is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us their details, write to us and we will delete them.

12Changes To This Policy

We may update this policy as our services, our technology or the law changes. The version on this page is always the current one, and the date at the top tells you when it last changed. If a change materially affects how we handle your information, we will say so on this page and, where we can, tell you directly.

13Contact And Grievance Redressal

Questions, requests and complaints about privacy all go to the same place. We will acknowledge you promptly and answer within 30 days.
